Companies have a well defined structure when it comes to expanding businesses. Companies recruit employees across different roles and geographies to deal with work spread across many places. Bigger companies have their work spread across cities and even bigger multinational companies have their business operations spread across many countries across the world. All these employees work together in ensuring that they achieve the goals set by the company. However, sometimes teams across different domains or same departments need to sit together to decide on strategies, new initiatives, learn new things etc. Hence, teams meet whenever possible. However, in many cases it becomes tedious or expensive for employees to travel as it includes airfare, hotel accommodation, miscellaneous expenses etc. In order to overcome these costs and ensure that employees have a meeting discussion as required, companies these days opt for video conferencing.
Video conferencing is a method in which employees or business partners use audio visual devices to have a business discussion when it is difficult to meet in person. People across geographies can use the audio visual device at their respective ends and login to a common streaming channel. Over here the two or more parties who are present in the video conferencing channel can see and hear each other through a camera and a mic respectively. Nowadays video conferencing also enables people across geographies to share their laptop screens and even give control to each other. This creates a situation where even though people are sitting very far apart, they can share all information and have a discussion real time.
Video conferencing has several advantages as a business process. Some of the advantages are listed below:
The biggest advantage of video conferencing is that it saves the company a lost of expenses. Camera, mic and an internet connection can be purchased with a one time investment across various locations. Once purchased it can be used to connect employees or business partners through video conferencing most of the times. This saves the company for airfare, accommodation, other sundry expenses etc which otherwise might have to be paid if employees travel.
Video conferencing saves a lot of time as business partners or employees who want to have a business discussion can meet immediately through a video call. This saves time to travel, meet at a particular location. It can also be ended as soon as the work is completed.
3.No distance restrictions-
Video conferencing can connect people who are two desks apart or can even connect people who are in different countries. With newer video conferencing technologies people can connect from multiple locations across the globe and have a real time discussion. Thus there is no limit to the number to people or the distance across which people can connect through a video call.
Apart from audio visual devices, video conferencing is also carried out using laptops or smartphones. These days camera and a mic are inbuilt with laptops, phones, tabs etc. And hence can be used anytime anywhere to connect with fellow colleagues or partners to have an online business meeting.
On the contrary, video conferencing cannot be substituted every time for a one on one personal meeting. Certain drawbacks of video conferencing are listed as below:
1.No physical transaction-
Even though people can see and hear each other through a video call, physical transactions cannot be done between employees or business partners. Employees cannot sign documents, touch or feel raw materials or products etc. Some times these things if critical cannot be compensated by a video meeting.
Many a time for a market research or customer feedback, employees have to travel for getting the first hand information from customers or from the field. Hence in this scenario having a video conferencing would not give the best context or analysis.
Companies like Skype, Hangout, Whatsapp have been revolutionary apps and tools to integrate voice, video and data transfers. This has changed the way work and business is carried out all across the world. Considering all the aspects, video conferencing is a boon to companies who look to have a global approach to business and yet look to save costs and time thereby increasing efficiency as well as margins. In fact, video conferencing not only is useful for big companies but also allows small startups to keep doing business within smaller budgets.
